Encompass Health cuts insurance admin work with automated Microsoft workflow

Risk & Insurance says Encompass Health built an in-house system with SharePoint and Power Automate to avoid buying a costly RMIS, addressing a high five to six figure problem.

Risk & Insurance details how Encompass Health, which operates more than 170 hospitals and employs over 40,000 people nationwide, has streamlined its corporate insurance operations using an internal automation workflow built on tools it already had.

Under the leadership of Cassi Gipson, director of risk management, the company faced overwhelming claim, coverage and compliance data spread across spreadsheets, emails and folders. With only a two-person risk management team, responding to inquiries about claims or program details could consume hours, driving delays for the broader organization.

Rather than purchase a risk management information system, which it said was priced outside its budget, Gipson developed an integrated approach. The company used SharePoint worksheets and lists, plus associate forms, to collect data and support tasks such as tracking claim payments and self-insurance regulatory requirements by state, including simplifying requests for certificates of insurance, bonds and asset changes.

Encompass Health also adopted Microsoft Power Automate to streamline communications by routing complete information directly to brokers, replacing paper forms and manual email drafting. Risk & Insurance reports that the team consolidated these tools within a shared OneNote notebook for faster claim reporting, COI requests, contract exception tracking and facility access, and that Gipson credited the automation with solving a high five to six figure problem for the company.
