Encompass Health cuts claims and compliance data work with Microsoft tools

The lean two-person risk team built a SharePoint and Power Automate workflow to route complete information to brokers, avoiding an RMIS purchase.

Encompass Health Corporation has streamlined how it manages corporate insurance across a network of more than 170 hospitals, after relying on a small risk management team to oversee claims-related data and compliance requirements.

Risk & Insurance profiles Cassi Gipson, Encompass Health’s director of risk management for insurance, who said the company previously spent hours searching through disconnected spreadsheets, emails, and folders to answer requests about claims and program details.

Instead of buying an expensive risk management information system that was outside its budget, Gipson built an integrated workflow using Microsoft tools. The company uses SharePoint worksheets and lists, along with associate forms, to collect data and simplify requests for certificates of insurance, bonds, and asset changes.

Encompass Health also adopted Microsoft Power Automate to replace paper forms and manual emails with automated workflows that send complete information directly to brokers, and consolidated related materials into a shared OneNote notebook for claim reporting, COI requests, contract exception tracking, and facility access. Gipson said the approach resolved a high five to six figure problem for the company.
